Subscriptions & Billing

Manage your organization's subscription plan, monitor usage costs, and handle billing through the Stripe-powered billing portal.

Overview

Genvid uses a seat-based subscription model. Your organization subscribes to a monthly plan with a per-seat price, and AI generation costs are tracked in dollars based on the models you use. Each AI model displays its cost before generation, giving you full transparency over spending.

Key Concepts

  • Subscription: Your monthly plan that provides access to Genvid's features
  • Seats: The number of users included in your subscription — each team member requires a seat
  • Generation Costs: Dollar costs incurred when using AI models for image, dialog, and video generation
  • Month-to-Date Usage: Running total of your generation spending for the current billing period
  • Billing Portal: The Stripe-powered portal where you manage your plan, payment methods, and invoices

Who Manages Subscriptions

Subscriptions are managed at the organization level. Each organization has one subscription that covers all members:

Viewing Your Subscription

Accessing the Billing Page

  1. Click on your profile icon in the top-right corner of the application
  2. Select Billing from the dropdown menu
  3. The Billing & Subscription page displays your current plan details

Billing Page Overview

The Billing page displays three main cards:

Managing Your Subscription

Upgrading Your Plan

  1. Navigate to Billing from the user menu
  2. Click Manage Billing to open the Stripe billing portal
  3. Select Change Plan or Upgrade
  4. Choose your new subscription tier
  5. Review the prorated charges
  6. Confirm the upgrade

What Happens When You Upgrade:

  • Your new plan takes effect immediately
  • You pay a prorated amount for the remainder of the billing cycle

Downgrading Your Plan

  1. Navigate to Billing from the user menu
  2. Click Manage Billing to open the Stripe billing portal
  3. Select Change Plan or Downgrade
  4. Choose your new subscription tier
  5. Confirm the scheduled downgrade

What Happens When You Downgrade:

  • The downgrade is scheduled for the next billing cycle
  • You keep your current plan benefits until the billing period ends

Canceling Your Subscription

  1. Navigate to Billing from the user menu
  2. Click Manage Billing to open the Stripe billing portal
  3. Select Cancel Subscription
  4. Confirm the cancellation

What Happens When You Cancel:

  • Cancellation takes effect at the end of your current billing period
  • You retain full access until the period ends
  • You can reactivate before the period ends to continue your subscription

Reactivating a Canceled Subscription

If you change your mind before your billing period ends:

  1. Navigate to Billing from the user menu
  2. Click Manage Billing to open the Stripe billing portal
  3. Select Reactivate Subscription
  4. Your subscription continues without interruption

Understanding Generation Costs

How Costs Work

AI generation features have per-use costs displayed in dollars:

  • Image Generation: Creating or modifying character images, locations, props
  • Keyframe Generation: Generating the first frame of a shot
  • Dialog Generation: Creating audio/speech for shots
  • Video Generation: Rendering final shot videos

Each AI model displays its cost before you generate. Different models have different costs, with higher-quality models typically costing more.

Where to See Costs

  • Before generation: Each editor (Keyframe, Image, Dialog, Video) shows the selected model's cost per unit
  • Month-to-Date Usage: The Billing page shows your running total for the current billing period
  • Billing Portal: Full invoice history with detailed charges

Managing Seats

Your subscription includes a certain number of user seats. Each team member who needs access to Genvid requires a seat.

Viewing Seat Usage

The User Seats card on the Billing page shows:

  • Current number of seats in use
  • Seat management controls

Adding or Removing Seats

Admins can manage seats from the Billing page. Seat changes are reflected in your next billing cycle.


Subscription Status and Access

Subscription States

Your subscription can be in one of these states:

Subscription Paywall

You'll see a subscription paywall when:

  • New account: First time signing in after creating an account
  • Expired subscription: Your subscription ended and wasn't renewed
  • Payment failure: Payment method failed and wasn't resolved

The paywall presents subscription options and requires selecting a plan to continue.


Billing and Invoices

Viewing Invoices

All invoices are accessible from the Billing page:

  1. Navigate to Billing from the user menu
  2. Scroll to the Recent Invoices section
  3. Click View next to any invoice to see details or download

Payment Methods

Manage your payment methods through the Stripe billing portal:

  1. Click Manage Billing on the Billing page
  2. Select Payment Methods
  3. Add, update, or remove payment methods
  4. Set your default payment method

Common Questions

Can multiple users share one subscription?

Yes. Subscriptions are at the organization level. All members of your organization share the same subscription, with each member occupying one seat.

How do I know what a generation will cost?

Each editor displays the cost of the selected AI model before you generate. Costs are shown per unit (e.g., per image or per second of video).

What if my payment fails?

If your payment fails:

  1. Your subscription enters "Past Due" status
  2. You receive an email notification
  3. Update your payment method in the billing portal
  4. Access may be restricted until payment succeeds

How do I add more team members?

Add seats from the User Seats card on the Billing page. Each new team member requires a seat, which is added to your subscription cost.
