User Management

Manage your organization's team members, control access through roles, and handle user invitations from the Users page.

Overview

The Users page is your central hub for managing who has access to your organization in Genvid. From here, you can:

  • Track seat usage so you know how many invitations you have left
  • Invite new team members by email and assign them appropriate roles
  • Review pending invitations and resend or revoke them
  • Approve join requests from users who signed up with a matching email domain
  • View and manage existing members including updating their roles

Who Can Use This Feature

Only users with the Admin role can open the Users page and manage team members. Every other role (Artist, Artist Supervisor, Director, Editor, Writer, Writer Supervisor) cannot access this page.


Accessing the Users Page

From the Navigation Menu

  1. Log in to Genvid
  2. Click the Account settings button in the top-right corner of the header (user icon)
  3. Select Users from the dropdown menu

The page opens with the heading Users and a Back to Dashboard button in the top-right corner.


User Seats

Your organization has a set number of user seats, based on your subscription. The User Seats card at the top of the Users page shows how many seats you are currently using and how many remain.

The card displays:

  • A seats-used indicator (e.g., "3 / 20 seats used") and a progress bar
  • A message telling you how many seats are still available, such as "17 seats available for new invitations"

Understanding User Roles

Genvid uses a flexible role system where each user can have multiple roles. This allows team members to wear different hats depending on your production needs.

Available Roles

Hover over any role in the invite form to see its description. The seven roles are:

Role Combinations

Users can hold multiple roles simultaneously. For example:

  • A Writer + Artist can both write scripts and create visual content
  • An Admin + Artist Supervisor + Writer Supervisor has full oversight of all content
  • A dedicated Admin focuses purely on team management

Inviting Team Members

The Add Team Member section allows you to invite new users to your organization.

How to Invite a New Member

  1. Navigate to the Users page
  2. In the Add Team Member section, enter the user's email address in the Email Address field
  3. Under Member Roles, check or uncheck the role checkboxes (Artist and Writer are selected by default)
  4. Click the button to add the member

What Happens After Inviting

When you add a team member, one of two things occurs:

Pending Invitations

The Pending Invitations section lists every invitation that has been sent but not yet accepted.

The table displays:

ActionsResend the invitation, or Revoke it

Resending or Revoking an Invitation

  • Click Resend to send the invitation email again.
  • Click Revoke to cancel the invitation. A confirmation dialog appears — click Revoke to confirm or Cancel to keep the invitation.

Managing Join Requests

When users sign up for Genvid using an email domain that matches your organization (e.g., yourcompany.com), they appear in the Pending Join Requests section for your approval instead of creating their own workspace.

Viewing Pending Requests

The Pending Join Requests section displays:

Approving a Join Request

Review the email address and domain to verify the request is legitimate, then click Approve to add the user to your organization.

Rejecting a Join Request

Click Reject to deny the user access. A confirmation dialog appears — click Reject to confirm or Cancel to keep the request.


Managing Organization Members

The Organization Members section displays all current members of your organization with their roles and membership details.

Viewing Members

The members table displays:

Editing Member Roles

To change a member's roles:

  1. Click on the role text in the Role column
  2. In the Edit Roles dialog that appears (titled with the member's email), check the roles you want to add and uncheck the roles you want to remove
  3. Click Save to apply changes, or Cancel to discard

Removing Members

To remove a member from your organization:

  1. Click the Remove member button in the Actions column
  2. In the Remove Member dialog, click Remove to confirm or Cancel to keep the member

Important notes:

  • You cannot remove yourself from the organization (the button is disabled for your own account)
  • Removed users lose access to all organization resources

Common Workflows

Onboarding a New Team Member

  1. Open the Users page
  2. In the Add Team Member section, enter the new member's email address
  3. Select appropriate roles:
    • For content creators: Artist, Writer, or both
    • For leads: add the relevant Supervisor role(s)
    • For administrators: add the Admin role
  4. Add the member
  5. Tell the team member to check their email if they're new to Genvid

Promoting a Member to Supervisor

  1. Navigate to the Users page
  2. Find the member in the Organization Members section
  3. Click on their current role(s)
  4. In the Edit Roles dialog, check the appropriate Supervisor role(s)
  5. Click Save

Offboarding a Team Member

  1. Navigate to the Users page
  2. Find the member in the Organization Members section
  3. Click the Remove member button
  4. Confirm the removal

Troubleshooting

"Users" option doesn't appear in menu

Cause: You don't have the Admin role in your organization.

Solution: Contact an existing Admin in your organization to grant you the Admin role.

Can't invite a new user

Cause: Your organization has no seats available.

Solution: Check the User Seats card. If it shows zero seats available, purchase additional seats in the billing section before inviting more users.

Invited user didn't receive email

Possible causes:

  • Email went to spam folder
  • Incorrect email address entered
  • Email delivery delay

Solutions:

  • Ask the user to check their spam/junk folder
  • Verify the email address is correct
  • Resend the invitation from the Pending Invitations section

Join request from unknown email

Cause: Someone with a matching email domain signed up.

Solution: Verify with your team whether this person should have access. Reject the request if it is not from a legitimate team member.
